2. The CRD will communicate by WhatsApp and telephone calls with the office of the Council Member or the Board Member prior to the dispatch of the correspondence.
3. The CRD will dispatch the relevant correspondence office of the Council Member or the Board Member.
4. As per Board and Council Rules, the deadline for response would be set accordingly for round robin responses.
5. The CRD will continue to communicate with offices of the Monetary Council and Board Members for the required approvals.
6. The CRD receives signed copy of the approved round robin correspondence.
7. The response is dated, initialled, scanned and saved in DM in a specific folder.
8. Each response is entered in the spreadsheet to track receipt dates and the confirmation/disapproval from the Monetary Council or Board Members.
9. On receipt of 5 approved responses, the DM folder is emailed to the lead department notifying of the approval to proceed with the request.
10. The CRD prepare a calendar entry, 6 to 8 weeks processing time, for the lead department indicating round robin approval must be ratified at the next Monetary Council or Board Meeting. 11. The lead department is responsible for: (1) preparing the necessary draft paper on the round robin request for presentation to the relevant clearing house (e.g. PC and MPOD) for approval; (2) informing the SPPD that a matter for ratification should be added to the meeting agenda; (3) preparing the final paper on the round robin request and submitting same to the Governor’s Core/Strategic Planning and Project Department (SPPD).
12. The Governor’s Core/SPPD is responsible for submitting the paper to the CRD in PDF format to be added to the hyperlinked agenda.
13. Following the meeting and the preparation of the final decisions, the signed decisions are forwarded to all Heads of Departments. Lead departments would be notified to use this document as the avenue to confirm that their agenda items were in fact presented and ratified.
