Ocean Terrance Inn Hotel

 contact the reservation desk to inquire availability of best rooms for the specific date and time  prepare and dispatch email detailing name of guests, period of staff and billing information for overseas meeting participants  receive reservation confirmation email from the Ocean Terrace Inn  PDF and dispatch reservation confirmation to overseas participants

After the meeting, request the invoices from the relevant hotel. Follow the necessary Procurement Procedures for settling hotel invoices.

Prepare a comprehensive list of hotel bookings and travel itineraries and update accordingly. Submit to the SSMD if ground transportation is to be arranged.

Meetings in Member Territories

1) Discuss with the Resident Representative and the Administrative Professional the details of the meetings, meeting participants and the type of rooms required. Resident Representative to recommend best hotel for accommodation.

2) Request of the Resident Representative to secure a quotation from the hotel detailing the room rate, breakdown of taxes and any amenities which come with the room.

3) Prepare CRD SAP Excel worksheet to guide the Agency Office Administrative Professional in the preparation of the Purchase Requisition.

4) For large payments to the hotel, lead officer to prepare memorandum to AD for deposit payment (based on the terms of the hotel).

5) Follow Procurement Procedures for securing hotel reservations. NB – All hotel bookings should be secured using the Bank’s credit card.
