Prepare an email for dispatch to the Accounting Department with the list of confirmed attendees and request payment of subsistence if meeting is face to face. Request of AD a screenshot of payment advices.

AFTER THE MEETING
1) After a Monetary Council Meeting, finalise and dispatch Communiqué of meeting to the media and Bank’s partners the same day of the meeting. Email copy to the Resident Representatives to disseminate within their respective countries.
2) Prepare Communique for publishing to the Bank’s website. All authorising parties should be on standby.

Arrange for settlement of bills.
3.1 Preparation of Council Decisions
1) The decisions are prepared by the SPPD and finalised by the CRD within 3 days of the meeting.
2) Allow lead officer to review the draft decisions to ensure papers number assigned are consistent with agenda sequencing.

The decisions are forwarded to the Governor for his approval.
4)
The decisions are then forwarded to the Chairman via email for signature.
5) On receipt of signed the Decisions, scan document and save in PDF format in folder in DM as “Signed Council Decisions and Minutes”. Original document is filed in a ring binder in filing cabinet. 6) Prepare email and dispatch copy of the signed Decisions to Council Members/Alternates, their Advisers who attended the meeting and Board Members.
7) Prepare email and dispatch copy of the signed Decisions to Heads of Departments and Chief Risk Officer.
8) Decisions relating to ECSRC and ECCB’s affiliated institutions are forwarded to these institutions by letter signed by the Senior Director CRD.
