2.17 Enclosure Notation If one or more items are to be included in the envelope with the letter, indicate by typing “ Enc” on the line below the reference initials. The number of enclosures should also be included in the enclosure notation – Encs (2) . The term “ Att” ( for attachment) is used when the material is actually attached to the cover letter rather than simply enclosed. The number of attachments should also be included in the attachment notation - Atts (2) . 2.18 Copy Notation Use ‘c ’ to let the addressee know that one or more persons will be sent a copy of the letter. Type “ c” on the line below the reference notation and/or enclosure notation, whichever comes last. If several persons are to receive copies, list the names according to the rank of the persons . Align all the names with the start of the first name. 2.19 Footer All internal reference numbers should be removed from the footer prior to mailing. No page numbering is required in the footer on letters.

2.20 Continuation Sheets

If a continuation sheet is required, the Bank’s official continuation sheet should be used and formatted as follows: Note: At least one paragraph of the letter should be on the continuation sheet along with the complimentary close.

3.0 MEMORANDA (DM #1024932) 3.1 Continuation Sheet

Memoranda should be typed on an ECCB continuation sheet (letterhead with ECCB logo located a top right of page). Memoranda can also be typed on a sheet of paper with the Bank’s logo attached to the top of the sheet.
