(6) When the request is approved by the Governor, the following is prepared by the Governor’s Administrative Professional for his signature:

(a) A letter to the Financial Secretary of that member state, advising of the name of the person who will be acting/performing the duties and the period of the acting/performance of duty; (b) A letter to the commercial bank with which the Agency Office deals with in that member state advising of the name of the person acting/performing duties, the period of acting/performance of duties and a specimen signature of the person acting/performing duties; (c) A circular letter to all the other commercial banks in that member state advising the name of the person acting/performing duties and the period of acting/performance of duties. (7) The Human Resource Department prepares an approval memo to the Accounting Department, advising the period of service and the name of the individual performing the duties and remuneration for that person.

(8) The Human Resource Department is responsible for informing the relevant parties and staff members of the name of the person performing the duties and the period of service.

(9) The Resident Representative must arrange for the individual to take an Oath of Secrecy and Declaration of Allegiance. The original copy of these must be sent to the Human Resource Department. The original copy is then sent to the Legal Officer by the Human Resource Department and a copy is retained on the files in the Human Resource Department.

D Request for an individual to perform the duties as Administrative Professional in the Agency Office for five (5) days or more.

If an individual is required to perform the duties of the substantive Administrative Professional during the period the substantive Administrative Professional is required to manage the operations of the Agency Office or is absent from work (planned leave), the following must apply. (1) The Resident Representative must prepare a request in the form of a memo addressed to the Head, Corporate Relations Department, Corporate Relations Department, advising the reason why the individual should be employed to perform such duties and the period of service. A copy of the individual’s CV and certified copies of certificates must accompany the request (if they are not yet available in the Human Resource Department). Background checks must be done on that individual.

(2) The Head, Corporate Relations Department must send a recommendation, along with the request from the Resident Representative, to the Human Resource Department.
